HOW DO I GET EQUIPMENT?

Equipment check-out/check-in is first come, first served. There is not enough equipment for everyone to shoot at the same time. Submitting your Equipment Request(s) well in advance of your shoot increases the likelihood that there will be equipment available for you when you need it. Space and staff time are limited. We can only help a certain number of people simultaneously. DO NOT PROCRASTINATE. Qualified users (see Equipment Checkout Rule #1) must submit an electronic Equipment Request Form. Here's how:
Step 1
Reserve an appropriate length appointment time by calling/emailing Equipment Checkout. 471-6565 checkout@uts.cc.utexas.edu You should get in the habit of scheduling appointments AND equipment a week ahead of time. If you reserve less than one week from your proposed shoot, we may not have appointments or equipment available.
APPOINTMENTS ARE THE FOLLOWING LENGTH:
Individual Checkouts and/or Labs
319/331/344M/351/351C/Experimental Film =30 minutes
366K/343 More than 15 items=1 hour
less than 15 items = 30 minutes
881K/Cinematography/Undergrad Thesis/ Thesis/Pre-Thesis/367L/368
less than 15 items = 30 minutes
16-24 items items=1 hour
25 to 39 hours 1 1/2 hour
40-60 items = 2 hours
60 to 80 items 2.5 hours
more than 80 items 3 hours
more than 100 items 3.5 hours
Step 2
Go to http://mrm.communication.utexas.edu/mrm6/default.aspx?db=mrm&mylocation=Default-Start
Not all browsers will work. INTERNET EXPLORER 5.5 OR ABOVE WORKS. NETSCAPE 7.X OR ABOVE WORKS. YOU MUST HAVE POPUPS ENABLED (allow popups) TO RESERVE EQUIPMENT USING THIS SYSTEM. You will need your USERNAME and password. Only qualified users (see Rule #1) exist in the system. If you are not a qualified user, you will not be able to reserve equipment.
Step 3
Log-in then Click on “Reserve” (orange clock) at the top of the page. It may take a few seconds to load. Start filling out the form. REMEMBER TO SELECT AM AND PM FOR TIMES and select the correct times (The exact times and dates you have scheduled with us in step 1 above.)
For project summary put a BRIEF description of your project.
For reservation select “local” if you are NOT leaving a 25 mile radius of U.T. Austin main campus. Select “outside a 25 mile radius of U.T. Austin main campus” if you ARE leaving a 25 mile radius of U.T. Austin main campus. Select “international” if you plan to leave the United States at any time during your shoot.
For Full Name write your first and last name.
We need your email address and a phone number to contact you.
Now you are ready to reserve equipment.
IMPORTANT
Click on the magnifying glass to the center right of the screen. A Window called “Find Resources” will open. NOTE: SOMETIMES THE WINDOW OPENS BEHIND THE WINDOW YOU ARE LOOKING AT, SO IF YOU DON'T SEE A WINDOW WITHIN 5 SECONDS, SLIDE THE FRONT WINDOW OUT OF THE WAY AND LOOK BEHIND. DO NOT CLOSE YOUR WINDOW OR YOU WILL HAVE TO RE-ENTER ALL THE INFORMATION YOU HAVE JUST ENTERED.
Where it says “Class” select the equipment category you want to reserve then click on the “Find” button on the right hand side. A page called “Find Resources” opens.
Now go down that list and click on items you want to reserve. (Click on the checkbox to the far left of the photo.) You may see red Xs. Ignore them. These are places where we can put photos someday. Click on the empty box to the far left of the page.
After you have chosen items that you want, click“ Select”. This takes you back to “Reservation Details” page. Wait a few seconds for the screen image to “jump”. This means it is finished adding the items to your reservation. Don't interrupt the process by clicking elsewhere before it finishes adding your items. After the screen jumps, if you scroll down the window, you will see ALL the items you have reserved. NOTE: ONLY THOSE ITEMS WITH CHECK MARKS NEXT TO THEM ARE RESERVED BY YOU. If you want to reserve more items, click on the magnifying glass and go to whichever class (type) of equipment you want.
The term “class” should be thought of as a category of equipment. Sometimes it is indeed the class you are enrolled in. Your primary equipment items are in the class you are enrolled in.
Step 4
If you are in a group, click on “More Contacts to enter contact information for your group members.” Enter ALL group members.
Step 5
There is a mandatory box you must check that says you agree to abide by RTF Rules. This box is on the lower right side. In order to use our equipment, you must check the box.
Step 6
Click “Save and Close”. You will get a message that asks if you want to “email the appropriate departments?” If you want to have a copy of your reservation for yourself, click OK. A window will popup. Enter your email address and click send. Some people find this function helpful because they get an email that they can refer to. The email shows checkout time, check-in time and an itemized list of equipment.
A few notes about the email.
1. This function will only work when you have Microsoft outlook configured on the computer you are using.
2. Please do not email Equipment Checkout. It serves no purpose other than filling up our mailbox. It does NOT confirm your reservation.
STEP 7
If you want to verify that you did indeed make a reservation, go to “Search” at the top of the screen. It should pop up with your username already in the “booked by” field. Assuming that you are the person who booked your reservation, all you have to do is click “Find”. You will see every reservation you have ever made. Scroll down looking in the “Meeting Start date” to find the reservation you just made. You will see a complete list of equipment that you have reserved.
If the Online system goes out of service for more than 24 hours, we will revert to paper forms. You can find these forms in Equipment Checkout or in the hallway just outside Equipment Checkout.
